Recording, Confidentiality & AI Use Policy


This Recording, Confidentiality & AI Use Policy (“Policy”) was last updated on 12 July 2026. It is incorporated by reference into, and should be read alongside, our Terms & Conditions and our Privacy Policy. Capitalised terms not defined here have the meaning given in our Terms & Conditions.

1. Why This Policy Exists

Our classes, courses, workshops, and coaching sessions involve our proprietary Beck Emotional Access Technique (BEAT®) methodology, together with teaching materials, exercises, and feedback that Beck Academy of Dramatic Art Limited (“BADA”, “we”, “us”, “our”) has developed. Sessions may be delivered in person or via video-conferencing platforms such as Zoom or Google Meet, and may be recorded. This Policy explains what you may and may not do with any recording, transcript, or material arising from a session, and specifically restricts the use of Artificial Intelligence tools with that material.

2. Definitions

AI Tool any generative AI system, large language model, machine learning algorithm, chatbot, transcription or note-taking bot, or other automated tool capable of ingesting, analysing, processing, storing or generating output from text, audio, image or video content, including but not limited to ChatGPT, Claude, Gemini, Copilot, Otter.ai, Fireflies, and Fathom.

Recorded Material any photograph, video recording, audio recording, livestream capture, screen recording, or transcript of any class, course, workshop, or coaching session, whether created by BADA or by a Student, and whether created with or without BADA’s knowledge.

Our Content our teaching materials, BEAT® methodology, scripts, worksheets, slides, notes, frameworks, course materials, and any other proprietary material we provide to you or that you access via our Website.

Session any class, course, workshop, coaching call, or other live or recorded interaction we deliver.

Third-Party Recording or Notetaking Bot any automated software agent, plug-in, browser extension, or virtual participant that joins a live Session to record, transcribe, or otherwise capture it, other than tools provided directly by BADA.

3. How We Record Sessions

3.1 Some Sessions are recorded by us for quality and training purposes, or — where you have separately consented — for promotional use as described in our Terms & Conditions. Where a video-conferencing platform’s built-in transcription or AI notetaking feature is used for a Session, we will tell you which one, and on what basis, before the Session begins.

3.2 Where we provide a video-conferencing link, we may apply technical restrictions such as view-only access, disabled downloads, expiring links, and disabled guest access. These are provided at our discretion and do not replace your obligations under this Policy.

3.3 Where we make a Session recording available to you, it is for your own private, personal review only, on the terms in Section 4.

4. Your Licence to Recorded Material and Our Content

4.1 Any Recorded Material or Our Content made available to you is licensed on a personal, non-exclusive, non-transferable, revocable basis, solely for your own private review and training. This is not a licence to download, copy, redistribute, publish, resell, or use as an input to any AI Tool.

4.2 If you attend a group class or workshop, Recorded Material may contain the image, voice, or contributions of other Students. Treat those contributions as confidential and do not disclose or redistribute them beyond your own private review.

5. Restrictions on Recording by You

5.1 Save where we officially provide you with a Session recording, you must not independently record, film, photograph, screen-record, or otherwise capture any part of a Session — including via screen-recording software or browser extensions — without our prior written consent.

5.2 You must not invite or knowingly allow a Third-Party Recording or Notetaking Bot to join or capture a live Session without our prior written consent. We may remove or refuse entry to any such bot or unrecognised participant at our discretion.

6. Corporate Clients — Mutual Confidentiality

6.1 Where a Corporate Client shares confidential business information with us in the course of a Business Workshop or Corporate Coaching engagement, we will treat that information as confidential in accordance with the confidentiality clause in our Corporate Workshops & Coaching Terms. This Policy protects our intellectual property from your side; that clause protects the Corporate Client’s information from ours.

7. Prohibition on Use of AI Tools

7.1 You must not, and must not permit or assist any third party to, input, upload, transcribe into, or otherwise provide to any AI Tool any of the following, without our prior express written consent: (a) any Recorded Material; (b) Our Content; (c) any other participant’s contributions from a group Session; or (d) any communication or feedback you receive from us or our staff.

7.2 This applies regardless of your purpose — summarisation, transcription, translation, content generation, or training/improving any model — and regardless of whether the AI Tool is free, paid, personal, or corporate.

7.3 Providing Recorded Material or Our Content to an AI Tool passes it to a third-party technology company outside our control and, in our view, is both an unauthorised transfer of our intellectual property and, where the material includes another person’s image, voice, or personal data, an unauthorised disclosure of their personal data for which you may be independently liable.

7.4 This Policy does not restrict your general use of AI Tools — only your use of them with material that originates from us or from a Session. You remain free to use AI Tools for your own independent notes and reflections that do not draw on Recorded Material or Our Content.

7.5 Any consent we grant under this Section is specific to the stated purpose, tool, and material, and is not an ongoing licence.

8. Consequences of Breach

8.1 A breach of this Policy is a material breach of our Terms & Conditions and may result in immediate termination of your booking without refund, without prejudice to any other right or remedy available to us, including injunctive relief and damages.
