1.1 Who We Are
1.1.1 Beck Academy of Dramatic Art Limited is the data controller for personal data processed in connection with our Website, Products, and Services.
1.2 What We Collect
1.2.1 Depending on your relationship with us, we may collect:
(a) contact and identity details — name, email, phone number, address, date of birth (where relevant to age-restricted Services);
(b) booking and payment records — course/session history, payment method type and transaction reference (full card details are processed by our payment provider and are not stored by us);
(c) for 1-1 Coaching clients under 18 — the parent/guardian’s contact details as the Booking Party, an emergency contact, and the minimum information about the Student needed to deliver the session safely (for example, relevant health information disclosed to us for safety purposes);
(d) for Schools Workshops — attendee numbers and, where the host school chooses to share it, pupil names for register purposes. We do not seek or hold further personal data about individual pupils; the host school remains the data controller for its own pupils’ records;
(e) conduct and safeguarding records — where a concern is raised under our Student Behaviour Policy;
(f) for Corporate Clients — employee names, job titles, and work contact details provided to us for the purpose of arranging and delivering a Business Workshop or Corporate Coaching engagement;
(g) technical data — IP address, browser type, and usage data collected via cookies (see our Cookies Policy); and
(h) communications you send us, and, where you consent, photographs, video or audio recorded during a Product or Service.
1.3 Children’s Data
1.3.1 Where we work with a Student under 18 through 1-1 Coaching, their parent or guardian is the contracting party and the primary point of contact; we collect the minimum data about the Student necessary to deliver the session safely, and we do not use a child’s data for marketing.
1.3.2 Where we deliver a Schools Workshop, we act as a limited, occasional processor of pupil information provided to us by the host school (such as first names, for the purpose of running the session) and do not independently seek or retain further pupil data. The host school remains responsible as data controller for its pupils’ personal data more generally.
1.4 Our Legal Basis for Processing
1.4.1 We rely on the following legal bases, as applicable: performance of a contract with you (bookings, payment, delivering a Product or Service); legitimate interests (running and improving the Academy, safety and safeguarding, preventing fraud, defending legal claims); legal obligation (for example, tax and safeguarding record-keeping); and consent (marketing communications, and any external use of photography, video, or testimonials featuring you).
1.5 How We Use Your Data
1.5.1 We use your data to process bookings and payments, deliver and administer our Products and Services, respond to enquiries and complaints, maintain safety and conduct records, meet our legal and regulatory obligations, and — only with your consent — send you marketing communications or feature you in promotional material.
1.5.2 We do not sell your personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects on you.
1.6 Who We Share Data With
1.6.1 We share data, only as needed, with: our payment processor (for processing payments); email and booking-system providers who process data on our instructions; our professional advisers (for example, our accountant or insurer); statutory bodies such as local authorities, the police, or the ICO, where we are legally required to disclose information or where there is a genuine safeguarding concern; and a Corporate Client, limited to information relevant to that Corporate Client’s own booking and its own employees. We do not share your data with third parties for their own independent marketing use without your specific consent.
1.7 International Transfers
1.7.1 Some of our service providers (for example, cloud hosting or analytics tools) may process data outside the UK. Where this happens, we rely on adequacy regulations or standard contractual clauses approved for use under UK data protection law to protect your data.
1.8 Retention
1.8.1 We keep booking, payment, and contract records for as long as required for tax and accounting purposes (currently six years from the end of the relevant financial year), conduct and safeguarding records for seven years from the date of the relevant incident (in line with our Student Behaviour Policy), and marketing data until you unsubscribe or withdraw consent. We securely delete or anonymise data once it is no longer needed for these purposes.
1.9 Security
1.9.1 We take reasonable technical and organisational measures to protect your data, including secure storage and access controls. No online system is completely secure, and we cannot guarantee absolute security of data transmitted to us over the internet.

1.11 Your Rights
1.11.1 Under UK GDPR you have the right to: access the personal data we hold about you; have inaccurate data corrected; request erasure or restriction of processing in certain circumstances; object to processing based on legitimate interests or for direct marketing; and receive your data in a portable format, where technically feasible. To exercise any of these rights, email courses@beckdrama.com. We will respond within one month.
1.11.2 If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner’s Office (ico.org.uk), though we would appreciate the chance to resolve your concern directly first.
1.12 Changes to This Policy
1.12.1 We may update this policy from time to time. The current version will always be available at beckdrama.com, dated at the top of this page.
